Appointment & Cancellation Policy


At Syracuse Medical Aesthetics, we reserve dedicated time for each patient to deliver the highest level of care and attention. To respect our providers’ time and accommodate all patients, we kindly ask that you review and adhere to the following policies.

Consultation Fees:

  • All standard consultations require a $50 fee
  • Advanced Medical Skin Evaluation: $250–$500 (based on provider)
  • Consultation with same-day treatment: A $250 fee is charged at the time of booking to reserve dedicated provider time and allow for a comprehensive consultation with treatment availability. $100 of this fee will be applied toward your treatment total.
  • Fees are non-refundable if appointments are canceled or rescheduled within 48 hours.

48-Hour Cancellation Policy

We require at least 48 hours’ notice to cancel or reschedule an appointment.

  • Appointments canceled or rescheduled within 48 hours may incur a 50% cancellation fee.

Late Arrivals

  • Clients arriving 10–15 minutes late may have their appointment shortened or rescheduled
  • In some cases, late arrivals may be considered a missed appointment and subject to a 50% service fee.

No-Show Policy

  • Missed appointments without notice may result in a 100% service fee.
  • For emergencies, please contact us as soon as possible.

Repeat Cancellations & Prepayment Requirement

To ensure fairness to all clients:

  • After three (3) no-shows and/or late cancellations, clients will be required to prepay in full for all future appointments
  • Prepayments are non-refundable if the appointment is missed or canceled within the 48-hour window
  • Appointments canceled with proper notice will have prepaid amounts applied as a credit toward future services

Payment & Booking Terms

  • A valid card on file is required to secure all appointments
  • Cancellation and no-show fees will be automatically charged to the card on file
  • Clients with unpaid fees or declined cards will be unable to book future appointments until balances are resolved
  • Deposits for virtual appointments are non-refundable

Why This Policy Exists

Our providers are often booked weeks to months in advance, and we maintain an active waitlist. Last-minute cancellations prevent us from accommodating other clients seeking care.

We appreciate your understanding and cooperation, as this allows us to continue providing exceptional service while respecting our team’s time.

By scheduling an appointment, you acknowledge and agree to this policy.

Membership Patients

Members of our SMA Membership Program are still expected to follow all appointment policies to ensure proper scheduling.

As a member benefit:

  • Cancellation fees are waived
  • However, appointments canceled with less than 48 hours’ notice or missed may result in forfeiture of that month’s promotional add-on treatment
  • Monthly membership credits remain unaffected

Appointment Reminders

As a courtesy, appointment reminders are sent via text and email.
Clients remain responsible for managing and attending their scheduled appointments.
